MilesBuddy Terms of Use

These Terms of Use (the "Terms") are a legal agreement between you and the operator of MilesBuddy ("MilesBuddy," "we," "us," or "our"). They govern your use of the MilesBuddy application on iOS and Android and related services (collectively, the "Service").
By creating an account, tapping an acceptance button, purchasing a subscription, or using the Service, you agree to these Terms and the MilesBuddy Privacy Policy. If you do not agree, do not use the Service.
1. The Service
MilesBuddy helps you record automatic or manual trips, organize vehicles and mileage, classify trips, create reports, estimate mileage-based values, export records, and receive local notifications. The free tier may include a limited number of trips and advertising. Optional rewarded ads may grant additional trip credits. An active Premium subscription provides unlimited trips and removes third-party ads, subject to these Terms and the offer shown at purchase.
Features differ by platform, country, device, permissions, account history, and App version. For example, iOS may offer Apple-powered place search, route calculation, and maps, while an Android version may use manual mileage entry and locally rendered stored routes. Some versions synchronize data with Firebase; some Android versions are offline-first and may only import existing cloud data while new edits remain queued locally.
We may improve, add, remove, or change features as described in Section 15. We do not guarantee that every iOS feature will be identical to an Android feature or that a feature will be available in every country or on every device.
2. Eligibility
You must be legally capable of entering a binding agreement. If you are under the age of legal majority where you live, a parent or legal guardian must review and accept these Terms for you. The Service is not directed to children under 13.
You may use trip-recording features only when you are legally permitted to operate or travel in the relevant vehicle and when your use complies with traffic, employment, tax, privacy, and other applicable laws.
3. Your account
You agree to:
- provide accurate account information;
- maintain the security of your email, password, platform account, and device;
- not share authentication credentials or allow unauthorized access;
- promptly notify us if you suspect compromise; and
- remain responsible for activity carried out through your account to the extent permitted by law.
You may not create accounts through automated means, impersonate another person, evade a suspension, or use another person's account without permission.
The same Firebase-backed MilesBuddy account may be used by compatible iOS and Android versions, but data and paid entitlements may not appear identically or immediately on both platforms.
4. License and acceptable use
Subject to these Terms, MilesBuddy grants you a limited, personal, revocable, non-exclusive, non-transferable license to install and use the App on devices you own or control, in accordance with the applicable App Store or Google Play usage rules.
You may not:
- copy, sell, sublicense, rent, distribute, or commercially exploit the App except as permitted by law;
- reverse engineer, decompile, bypass, or tamper with security, quota, subscription, advertising, reward, or synchronization mechanisms, except where applicable law expressly permits it;
- use bots, emulators, automated traffic, click farms, or deceptive conduct to generate ad views, rewards, purchases, trips, or usage;
- falsify location, motion, mileage, reports, subscription status, receipts, purchase tokens, or ad-completion events;
- interfere with the Service, introduce malware, probe for vulnerabilities, or access another user's data;
- use the Service to track another person, vehicle, or device without all legally required authority and consent;
- use the Service for unlawful, fraudulent, dangerous, or infringing purposes; or
- violate applicable Apple, Google, Firebase, advertising-provider, or payment-provider terms.
5. Location, motion, and automatic tracking
Automatic tracking requires device permissions and background operation. If you enable it, MilesBuddy may use precise location and motion or activity-recognition signals while the App is not visible. You can turn automatic tracking off and revoke permissions in device settings.
Location and motion systems are estimates. GPS obstruction, battery optimization, low-power mode, device settings, operating-system restrictions, network conditions, sensor errors, or provider outages may cause a trip to be missed, duplicated, delayed, shortened, extended, or calculated incorrectly. You are responsible for reviewing and correcting your records.
Do not interact with MilesBuddy while driving. Configure the App before starting a journey and use it only when safely and legally parked, or have a passenger operate the device. MilesBuddy is not a navigation, emergency, fleet-safety, driver-monitoring, or collision-detection service. Never rely on it for emergency assistance or safe operation of a vehicle.
Background location may increase battery use. Your mobile carrier may charge for data used by the Service.
6. Your content and records
"Your Content" includes trip information, routes, locations, notes, classifications, vehicle details, photos, reports, settings, and other material you submit or generate through the Service.
You retain your rights in Your Content. You grant MilesBuddy and its service providers a limited, worldwide license to host, copy, transmit, format, display, synchronize, and otherwise process Your Content only as necessary to operate, secure, support, and improve the Service, comply with law, and exercise rights under these Terms. This license ends when the relevant content is deleted from active systems, subject to backups, legal retention, and the account-deletion limitation below.
You represent that you have the right to provide Your Content and that it does not violate law or another person's rights. Do not put unnecessary confidential, health, financial, or third-party personal information in notes or support messages.
You are solely responsible for reviewing the accuracy and completeness of trips, mileage, classifications, vehicle information, and reports and for maintaining any independent backup required for business, tax, reimbursement, insurance, or legal purposes.
7. Free tier and trip allowances
The free tier may allow a stated number of quota-controlled trips during a stated period. The App will display the currently applicable allowance, balance, reset period, and which trip types consume the allowance. Imported historical trips or manually entered trips may be treated differently when the App clearly says so.
A "trip credit" is a limited permission to record or process one additional quota-controlled trip in MilesBuddy. Trip credits:
- are usable only within MilesBuddy;
- are associated with the account or installation to which they were granted;
- are personal, non-transferable, and cannot be sold, gifted, traded, or combined across accounts;
- have no cash, property, stored-value, or refund value; and
- cannot be redeemed for money, goods, services outside MilesBuddy, or a subscription.
The App will disclose any expiration or period reset that applies before you earn or acquire a credit. We may change future free allowances or the number of credits available prospectively, but we will not retroactively reduce an already displayed earned-credit balance except as disclosed when it was earned or to correct fraud, abuse, duplicate grants, or a technical error.
8. Advertising and rewarded ads
The free tier may display third-party ads, including interstitial, rewarded, or other permitted formats. Advertising availability is not guaranteed.
Except for a clearly identified rewarded-interstitial format that includes an advance opt-out, a rewarded ad is shown only after you affirmatively choose to view it. Before an ad begins, the App will clearly state:
- what action is required, such as watching the ad to completion;
- the exact reward offered;
- whether multiple ads are required; and
- any applicable expiration or usage restriction.
A reward is granted only after the advertising SDK reports eligible completion and MilesBuddy verifies the event. Closing, skipping, blocking, interrupting, or failing to complete an ad may result in no credit. Network, provider, inventory, consent, age, account, or technical restrictions may prevent an ad from loading or a reward from being verified.
If you completed the stated action but did not receive the displayed reward, contact milesbuddy.app@gmail.com. Do not send advertising IDs, authentication tokens, or other secrets. We may review relevant event and account records before correcting a balance.
We may withhold or reverse rewards obtained through automated viewing, repeated manipulation, falsified callbacks, device or account farming, policy violations, or other fraud. Advertising content is supplied by third parties. MilesBuddy does not endorse advertised products and is not responsible for an advertiser's separate product, site, transaction, or claims.
9. Premium subscriptions
9.1 Premium benefits
While MilesBuddy recognizes an active Premium entitlement, Premium provides:
- unlimited trip recording without the free-tier trip quota; and
- use of MilesBuddy without third-party ads.
"Unlimited" is subject to ordinary technical capacity, App functionality, lawful use, and reasonable safeguards against automated or abusive activity. It does not guarantee that the device will detect every trip or that cloud storage, synchronization, or any particular feature will always be available.
The purchase screen will identify the exact subscription period, price, currency, taxes, trial or introductory terms, and included features. That store-presented information forms part of these Terms. If it conflicts with a general description here, the clearer store-presented transaction terms control for that purchase.
9.2 Billing and automatic renewal
Premium is sold through Apple App Store on iOS and Google Play on Android. The store charges your platform account, handles your payment method, and provides transaction status to MilesBuddy.
Unless the purchase screen identifies a non-renewing plan, Premium automatically renews for the displayed subscription period until canceled. Your store account will be charged the displayed price and applicable taxes at the time specified by the store. If a free trial or introductory offer is available, it automatically converts to the displayed paid subscription unless canceled before the end of the offer period.
Prices and offers may vary by country, currency, eligibility, platform, and time. The store will provide any notice or request for consent required for a price change. We will not charge a new price where store rules or law require consent and that consent has not been obtained.
9.3 Cancellation
Deleting the App or your MilesBuddy account does not cancel a subscription. Cancel through the store from which you purchased:
- Apple: Manage Apple subscriptions
- Google Play: Manage Google Play subscriptions
Cancellation normally takes effect at the end of the current paid period, and Premium remains active until then. In some countries, immediate cancellation or prorated treatment may apply under local law or store policy.
9.4 Refunds
Except where applicable law provides otherwise, Apple or Google controls payment processing and refund decisions for purchases made through its store. Requests should be submitted through the applicable store. Cancellation alone generally does not refund the current billing period.

Nothing in these Terms limits a mandatory refund or withdrawal right.
9.5 Restoration, expiration, and platform transfer
MilesBuddy may verify, acknowledge, and periodically refresh your subscription status. Premium may be delayed or suspended while a purchase is pending, cannot be verified, is refunded, revoked, expires, or enters an unresolved billing state. Use the App's restore-purchases function, where available, while signed into the store account that made the purchase.
Unless the purchase screen expressly states that cross-platform access is included, a subscription purchased from Apple is not automatically transferable to Google Play, and a Google Play subscription is not automatically transferable to Apple. Store family-sharing rules apply only where MilesBuddy and the store expressly support them.
10. Mileage rates, taxes, and professional advice
MilesBuddy may calculate estimated amounts using bundled or remotely configured standard mileage rates, including rates published by the U.S. Internal Revenue Service. These calculations and labels such as "saved taxes" are estimates for organizational and informational purposes only.
MilesBuddy does not provide tax, accounting, legal, financial, employment, insurance, or professional advice. We do not guarantee that:
- a rate is current or applies to you;
- a trip is deductible, reimbursable, or correctly classified;
- a report satisfies the requirements of a tax authority, employer, court, insurer, or auditor; or
- an estimated amount equals your actual deduction, reimbursement, savings, or liability.
Rules vary by jurisdiction and circumstances. Verify the records, rates, classifications, and calculations and consult a qualified professional before relying on them. You are responsible for filings, substantiation, deadlines, and record retention.
11. Reports, exports, and sharing
The App may generate PDF or CSV reports from your data. Exported files may contain sensitive location, address, vehicle, mileage, note, and estimated-value information. Check a report before sharing it and choose recipients carefully.
Once you send a report to another app, cloud drive, email provider, employer, adviser, or person, their terms and privacy practices apply. MilesBuddy cannot retrieve or control copies held outside the App. Temporary App-created files may remain available in private cache for a limited period and may be removed during cleanup.
12. Third-party services
The Service depends on or interoperates with services supplied by Apple, Google, Firebase, advertising vendors, mapping/geocoding providers, email providers, and other apps you select. Their terms and privacy policies apply to their services.
Third-party services may change, become unavailable, impose limits, or produce inaccurate results. To the maximum extent permitted by law, MilesBuddy is not responsible for third-party content, ads, products, outages, mapping results, store actions, or independent data practices.
13. Intellectual property
The App, Service, visual design, software, text, logos, and other MilesBuddy materials, excluding Your Content and third-party materials, are owned by MilesBuddy or its licensors and protected by intellectual-property laws. No rights are granted except the limited license in these Terms.
"MilesBuddy" and associated branding may not be used in a way that suggests endorsement, partnership, or ownership without written permission.
14. Feedback
If you send ideas, suggestions, or feedback, you grant us a perpetual, worldwide, royalty-free right to use them without restriction or compensation, provided we do not publicly identify you as the source without permission. Do not submit confidential information as feedback.
15. Changes to the Service and Terms
We may update the Service to improve functionality, address security, comply with law or store requirements, change providers, or modify the free-tier business model. We may change future trip allowances, ad formats, reward opportunities, and subscription offers. Material paid benefits already owed for a current subscription period will not be removed except where necessary for security, law, store action, or circumstances outside our reasonable control.
We may update these Terms by posting a revised version and changing the "Last updated" date. We will provide additional notice where required. If you continue using the Service after revised Terms take effect, you accept them; where law requires express consent, we will request it. If you do not agree, stop using the Service and cancel any subscription before its next renewal.
16. Suspension and termination
You may stop using the Service at any time. You may sign out or request account deletion through the available App controls.
We may suspend or terminate access if you materially or repeatedly violate these Terms, create risk or legal exposure, abuse advertising or reward systems, use the Service fraudulently, or if required by a platform provider or law. Where reasonably possible and legally permitted, we will provide notice and an opportunity to resolve the issue.
On termination, your license ends. Sections that by their nature should survive will survive, including provisions on Your Content, purchases, intellectual property, disclaimers, liability, disputes, and miscellaneous terms.
The current in-App account-deletion flow deletes the Firebase Authentication identity and attempts to clear local account data, but does not currently delete existing Cloud Firestore documents. Contact milesbuddy.app@gmail.com to request verified deletion of cloud records. Account deletion does not cancel an App Store or Google Play subscription.
17. Disclaimers
To the maximum extent permitted by law, the Service is provided "as is" and "as available." MilesBuddy disclaims implied warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, uninterrupted availability, and error-free operation.
We do not warrant that trips will always be detected, that mileage or location will be accurate, that data will always synchronize or be recoverable, that reports will be accepted by a third party, that ads or rewards will always be available, or that Premium will operate without temporary verification or store issues.
Some jurisdictions do not allow certain warranty exclusions. In that case, the exclusions apply only to the extent permitted by law, and your mandatory consumer rights remain unaffected.
18. Limitation of liability
To the maximum extent permitted by law, MilesBuddy and its suppliers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages; lost profits, tax benefits, reimbursements, revenue, business, or data; missed or inaccurate trips; device or battery issues; or the cost of substitute services arising from or related to the Service.
To the maximum extent permitted by law, MilesBuddy's aggregate liability for all claims relating to the Service will not exceed the greater of:
- the amount you paid to MilesBuddy through the applicable app store for the Service during the 12 months before the event giving rise to the claim; or
- USD 50.
These limitations do not apply to liability that cannot lawfully be limited, including liability for fraud, willful misconduct, gross negligence where applicable, death or personal injury caused by negligence, or mandatory consumer guarantees.
19. Indemnity
To the extent permitted by law, you will indemnify and hold MilesBuddy harmless from third-party claims, losses, and reasonable costs arising from your unlawful use of the Service, infringement of another person's rights, unauthorized tracking, fraud, or material breach of these Terms. This section does not require a consumer to indemnify MilesBuddy for MilesBuddy's own unlawful conduct, negligence, or breach.
20. Applicable law and disputes
Mandatory consumer-protection and conflict-of-law rules determine the law and courts that apply to these Terms. Nothing in these Terms deprives you of mandatory rights or access to a court or dispute process available where you live.
Before filing a claim, you and MilesBuddy agree to try in good faith to resolve the dispute by contacting milesbuddy.app@gmail.com and allowing a reasonable response period. This does not prevent either party from seeking urgent relief or using a regulator, small-claims procedure, or other remedy that cannot lawfully be restricted.
21. App-store terms
Apple App Store and Google Play terms also apply to downloads and purchases made through those stores.
For an iOS download, these Terms are between you and MilesBuddy, not Apple. MilesBuddy, not Apple, is responsible for the App and its content, maintenance and support, and claims relating to the App, except as otherwise required by law. Apple has no obligation to provide maintenance or support. If the App fails to conform to an applicable warranty, you may notify Apple and Apple may refund the purchase price, if any, as required by its rules; to the maximum extent permitted by law, Apple has no other warranty obligation. Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce the Terms against you after your acceptance.
You represent that you are not located in a country subject to an applicable government embargo and are not on an applicable prohibited or restricted-party list. You must comply with applicable third-party terms when using the App.
22. Miscellaneous
These Terms and the Privacy Policy form the entire agreement between you and MilesBuddy regarding the Service, except for transaction terms displayed by an app store or additional terms expressly accepted for a feature.
If a provision is unenforceable, it will be enforced to the maximum lawful extent and the remaining provisions will remain effective. A failure to enforce a provision is not a waiver. You may not transfer these Terms without our consent, but we may transfer them as part of a merger, reorganization, financing, or sale of the Service, subject to applicable law. Headings are for convenience only. The word "including" means "including without limitation."
